How to Automatically Clean Your Email Folders

Folder Auto-Clean automatically purges your email folders based on the size of a folder or the age of a message, freeing up your mailbox disk space from spam and unwanted emails.

This feature needs to be enabled by your email administrator.

  1. Log in to webmail e.g. https://webmail.yourdomain.com.
  2. On the top menu bar, click More to expand the drop-down menu, then click Settings.
  3. Scroll down till you see the Folder Auto-Clean (1) card.
  4. Switch on Override auto-clean settings (2). Note, you will only see this option if your email administrator has enabled it.
  5. Click New Rule (3).
  6. On the modal that pops up,
    • Select the folder you would like auto-clean (Inbox, Deleted Items, Junk Email, or Sent Items). This list will reflect your folder structure.
    • Select the type of rule (Size of Folder, Time in Folder, or Message Date).
    • Configure the associated option(s).
    • Click Save.

  7. Click Save at the top of the content pane, to save your folder auto-clean rule(s).

Note:
Once the messages have been purged, they can’t be retrieved. Thus, ensure you provide yourself enough time to review your folders before they are auto-cleaned.
